Run Your Lot from the Inventory Hub

How-To Guide · Inventory Hub

Every other BulkMarketAI tool starts from scratch: upload, run, download. The Inventory Hub is the opposite. It is your live lot inside the app — every unit, its photos, its price and features, and everything you have generated for it, kept between visits. Import your sheet once, then select rows and run whichever tool you need. Results save to the unit, so you can edit a description, re-run a graphic, or make a video for one unit weeks later without finding the spreadsheet again. The same row is also the public page a buyer opens, the QR code you stick on the door, and the lead that lands in your inbox.

The written steps below cover the full process.

What You'll Need

  • A Plus plan or higher (the Hub keeps 100 active units on Plus, 250 on Pro, 500 on Ultimate — sold units don't count)
  • Your inventory spreadsheet (.xlsx, .xls, or .csv, up to 500 rows per import) — or nothing, if you would rather add units by hand
  • Photos of each unit (JPG, PNG, or HEIC; up to 10 per unit)
  • Your business name, phone, and logo saved under Settings, so every tool can use them

Step 1 — Import Your Inventory

Open Inventory Hub from the sidebar and click Import Excel. Drop in your spreadsheet and match your columns to the Hub's fields — title, price, monthly payment (RTO), condition, size, features, and a special message. Columns the Hub doesn't recognise are kept as custom fields, so nothing from your sheet is lost. If you only have a few units, Add unit creates a blank row you can fill in directly in the grid.

Step 2 — Attach Photos

Click the photo cell on any row to add pictures. The first photo is the frontphoto — it is the one Social Graphic and Video Ad lead with and the one Add Logo stamps when you choose “front only” — so drag your best angle to the front. Phone photos work as-is, including HEIC.

Step 3 — Select Rows and Run a Tool

Tick the units you want, then click Run. The dialog offers the same tools as the function pages, using the data already on the row:

  • Description — Facebook listing copy in your chosen style. It lands in the row where you can edit it.
  • Add Logo — stamps your saved logo on every photo or just the front one.
  • Add Backdrop — cuts the unit out and places it on your branded backdrop.
  • Social Graphic — an AI marketing graphic from the front photo, price, and features.
  • Video Ad — a TikTok-style video per unit, up to 15 at a time. You see a free plan for each unit and can edit the spoken hook before rendering.

The Run dialog shows the exact credit total before you start, and each tool costs the same as it does on its own page. Results appear in the output cells on the right side of the grid as they finish.

Step 4 — Review, Edit, Export

Click any output cell to open it full size. Descriptions are editable in place. Finished graphics have a Touch up shortcut that opens Graphic Touch Up with that image loaded. When you are ready to post, select the units and use Export to download the Marketplace listings file or a ZIP of the photos.

Step 5 — Track Leads and Mark Units Sold

When someone calls, texts, or walks in about a unit, click the Log a lead icon on that row: note where it came from, what they said, and when to follow up. The Leads tab shows unread leads and anything due today. When the unit sells, click Mark sold — it moves to Sold History with its photos and leads intact and frees up a slot on your active lot. Open the lead and use Draft Friendly, Draft Professional, or Urgent to get a reply written from that unit and the conversation. Nothing sends until you copy it. See AI lead replies.

Step 6 — Put the Unit on the Web

Every public unit already has a page: photos, price, and a form that emails you and opens in Leads. From the row, Open page shows it and the eye icon hides it. Print kitmakes a 4×6 sticker, a letter flyer, or a sheet of six, each with a QR code. A scan opens that unit and counts separately from a normal page view. The whole lot also has one page — your name, hours, map, reviews, and every unit in stock. Set it up under Settings → Storefront.

  • Public unit pages and the QR print kit
  • The dealer storefront

Tips for Best Results

  • Fill in price, monthly payment, and three or more features before running Social Graphic or Video Ad — those tools only use facts on the row, so the more you give them, the stronger the ad.
  • Keep the front photo clean and level. It becomes the cover of every graphic and the opening shot of every video.
  • Run Description first and skim it before running graphics; the same facts feed both, so a typo in the row shows up everywhere.
  • Units already in the Hub with nothing generated yet? Select them and open Fast List. It prepares descriptions, logos, and graphics, then downloads the Marketplace file. It does not create new units.

The Hub is where the other guides meet: listings from Process Inventory, branded photos from Add Logo, and ads from Video Ad, all attached to the unit they belong to.
